External Drive Backups

Use Drive Backups when you want a copy of your AIFor.ms work outside AIFor.ms.

What Gets Saved​

Each backup can include:

  • Audio recording: the original recording file.
  • Transcript: the text AIFor.ms transcribed.
  • Final artifacts: completed conversions, such as summaries, emails, notes, or research outputs.

Final artifacts are not edited after they are created. To change one, update the transcript, custom text, prompt, or settings, then run the conversion again.

Where Files Go​

AIFor.ms creates a folder named:

aiforms

Inside that folder, files are grouped by month and recording title.

Example:

Before You Start​

Check these first:

  • You are signed in to AIFor.ms.
  • Your plan includes Drive Backups.
  • You know which external drive you want to use.
  • If a provider says Not ready yet, do not continue with that provider. Pick another option or contact support.

Option 1: Google Drive​

Best when you already use Google Drive for personal or team files.

  1. Open Settings.
  2. Open Integrations & Sync.
  3. Open Drive Backups.
  4. Find Google Drive.
  5. If the button says Connect Google Drive, tap it.
  6. Sign in with Google.
  7. Approve the AIFor.ms access request.
  8. Return to AIFor.ms.
  9. Tap Test on the Google Drive card.

You are done when Google Drive shows Connected and the test passes.

If Google Shows an App Error​

Stop. This is not something you can fix from inside AIFor.ms.

Use one of these choices:

  • Try OneDrive, Dropbox, or Nextcloud / WebDAV.
  • Contact support and say: "Google Drive backup opens an app setup error."

Option 2: OneDrive​

Best when you use Microsoft 365 or store files in OneDrive.

  1. Open Settings.
  2. Open Integrations & Sync.
  3. Open Drive Backups.
  4. Find OneDrive.
  5. If the button says Connect OneDrive, tap it.
  6. Sign in with Microsoft.
  7. Approve the AIFor.ms access request.
  8. Return to AIFor.ms.
  9. Tap Test on the OneDrive card.

You are done when OneDrive shows Connected and the test passes.

Option 3: Dropbox​

Best when Dropbox is your main file storage.

  1. Open Settings.
  2. Open Integrations & Sync.
  3. Open Drive Backups.
  4. Find Dropbox.
  5. If the button says Connect Dropbox, tap it.
  6. Sign in with Dropbox.
  7. Approve the AIFor.ms access request.
  8. Return to AIFor.ms.
  9. Tap Test on the Dropbox card.

You are done when Dropbox shows Connected and the test passes.

Option 4: Nextcloud / WebDAV​

Best when you use Nextcloud, ownCloud, or another WebDAV server.

You will need:

  • Server URL.
  • Username.
  • Password or app token.

For Nextcloud, the server URL often looks like:

https://cloud.example.com/remote.php/dav/files/your-username

Steps:

  1. Open Settings.
  2. Open Integrations & Sync.
  3. Open Drive Backups.
  4. Tap Advanced: Nextcloud / WebDAV.
  5. Enter the server URL.
  6. Enter your username.
  7. Enter your password or app token.
  8. Tap Connect.
  9. Tap Test on the connected provider.

You are done when the test passes.

What Happens After Setup​

AIFor.ms backs up new or changed items automatically:

  • New recording: backs up the audio if it exists.
  • New transcript: backs up the transcript.
  • New conversion: backs up the final artifact.
  • Updated transcript or conversions: backs up the changed text again.

Disconnecting a drive stops new backups. It does not delete files already saved in your external drive.

Quick Troubleshooting​

What you seeWhat to do
Not ready yetThat connection is not available in this app environment. Try another provider or contact support.
Provider opens an error pageStop and contact support. Tell them which provider failed.
Test failsDisconnect, reconnect, then test again.
You cannot find filesLook for a folder named aiforms in the connected drive.
You changed an artifactRun the conversion again. The old artifact remains final.

Fastest Safe Path​

If you just want the simplest path:

  1. Open Settings.
  2. Open Integrations & Sync.
  3. Open Drive Backups.
  4. Pick the first provider that does not say Not ready yet.
  5. Connect it.
  6. Tap Test.
  7. Look for the aiforms folder after your next recording or conversion.
